Description for Executive Administrative Assistant:

Administrative Assistant to the Executive Director. Responsible for confidential and time sensitive material. Perform data management, reporting, correspondence, and meeting planning. Ability to effectively communicate via phone and email ensuring duties are completed accurately and delivered with high quality and in a timely manner. Ability to anticipate needs and work innovatively with the Executive Director spearheading projects and assisting with other tasks as they arise. 

Responsibilities for Executive Administrative Assistant:
  • Organize and schedule meetings and appointments
  • Maintain contact/customer lists and other items within Salesforce
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Provide information by answering questions and requests
  • Handle multiple projects
  • Performing research related to project work
  • Contribute to team effort by accomplishing related results as needed
  • Maintain computer and manual filing systems
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems
  • Field phone calls as needed
Requirements for Executive Administrative Assistant:
  • Proven administrative assistant experience
  • Available to start as soon as possible
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office (Salesforce a plus)
